How to use Rules to filter SPAM in Microsoft Outlook 2003

The following procedure will move any email containing the words ‘viagra OR Cialis’ to a SPAM folder.

Create a SPAM folder by right clicking ‘Inbox’ and selecting ‘New Folder’.

At the top of the Outlook screen click Tools > Rules and Alerts > New Rule.

Select "Move messages with specific words in the subject to a folder" click 'Next'

Use tick boxes to modify the rule. To filter specific words, tick ‘with specific words in the subject’ and ‘with specific words in the body’

Note how the options in-Step 2- below change as boxes are ticked or unticked.

Click on ‘specific words’ and type the words or phrases to apply to the rule. Remember to include specific words for the subject and body.

Then click on ’specified folder’ and select the folder to place mail filtered by this rule. Once complete, the Rules Wizard box should look like this:

Click ‘Next’ and review options for the rule.

Click ‘Next’ and add any exceptions to the rule. Read through the options and select those that you want to apply.

Click ‘Next’ and type a name for the rule. Ensure ‘Turn on this rule’ is ticked. You can also run the rule to filter messages already in your inbox. Click ‘Finish’ and ‘Apply’ and ‘OK’

Once the rule is active, any mail containing the filter words in the subject or body text will be moved to the SPAM folder.

It is possible to amend the rule to filter additional words or to delete SPAM mail rather than move it to a folder.

Additional rules can be added to filter, move or delete bothersome email.
